25B - Enhancements to Job Offer Expiration Date
Prior to the 25B release, the Job Offer Expiration Date functioned purely as an FYI field with no system-enforced behaviour. However, starting with the 25B release, this field now actively governs candidate actions, aligning its functionality with its intended purpose. In this blog, lets explore how can we enable this feature.
A new setting - “Allow candidates to accept or decline job offers after the offer’s expiration date” - has been introduced to help administrators manage candidate actions more precisely. By default, this setting is enabled to maintain the existing behaviour. However, organizations seeking more structured control can disable this setting to enforce stricter expiration rules.
How to Enable This Feature
-
Navigate to the Setup and Maintenance work area >> Recruiting and Candidate Experience >> Recruiting and Candidate Experience Management >> Enterprise Recruiting and Candidate Experience
-
Expand the Offer section and click Edit.
-
Uncheck the option “Allow candidates to accept or decline job offers after the offer’s expiration date.”
-
Click Save.
What Happens When the Setting is Disabled?
-
Candidates cannot respond to a job offer once the expiration date has passed.
-
Candidate gets a reminder before the expiry date.
- Clicking the job offer link in the Extended Job Offer notification will display a message informing candidates the offer is no longer active.
-
The Accept and Decline buttons are disabled post-expiration.
-
Candidates must contact the Recruiting team to have the offer re-extended.
New Alert Notification for Offer Failures
A new system alert IRC_JobOffer_Extension_Failed is available in Alerts Composer. This alert notifies the offer team when a job offer extension fails due to issues such as BI Publisher connectivity problems or data integrity errors. This proactive notification allows the team to quickly address and resolve issues, minimizing delays in the offer process.
Updates to Candidate Notifications
The job offer expiration date is now included in the following notifications to help candidates act in time:
- ORA_OFFER_EXTENDED_EXT
- ORA_OFFER_EXTENDED_INT
- ORA_OFFER_REEXTENDED_EXT
- ORA_OFFER_REEXTENDED_INT
Note: If you’ve customized any of the above notifications, you’ll need to manually incorporate the expiration date messaging to reflect this update.
Tips and Considerations
-
The expiration date is stored in UTC not the time zone of the recruiter or candidate. Offers will expire based on UTC time.
-
Ensure there is at least a one-day gap when validating the offer expiry date to allow the setup to function correctly since UTC time zone is considered.
-
If the offer is extended or re-extended after the expiry date has passed, the offer does not expire as expected.
-
These enhancements, along with all updated notifications, are available in both Redwood and responsive pages.
These improvements offer recruiting teams a greater level of control, reduce potential errors, and promote timely action from candidates—ensuring a smoother and more efficient hiring experience.
