Delegate Approvals using BPM Worklist

In the earlier post, we explored setting up delegation rules with “Roles and Delegations.” But what if you prefer setting up a single delegation for all your approvals instead of selecting categories individually? In that case, you can utilize vacation rules configured through “BPM Worklist”.

With BPM Worklist, both individuals and administrators can setup vacation rules. Users can set up rules for themselves, while administrators have the capability to configure rules for others.

Set up Vacation rules for self.

  1. From home page, navigate to bell notification and click on Worklist:

  1. This opens a new window - allow pop-ups if the browser is blocking it. Click on your name and select Preferences:

  1. On the My Rules tab, select the Vacation Period:
  • Select the Enable vacation period check box.
  • Enter the start and end date for your time out of office.
  • Select to reassign or delegate your tasks and provide an assignee.

Note: “Delegate” implies that someone else is addressing the task on your behalf, while the task remains assigned to you. On the other hand, “reassign” means that the task is entirely passed on to someone else.

  1. Once you’ve made your adjustments, remember to save your changes.

If you need more specific vacation rules, follow these steps to create additional rules on the My Rules page:

  1. Navigate to the My Rules page.
  2. Select the Use as a vacation rule checkbox to use the same date range specified on the “Vacation Period” page.
  3. You can select “Execute rule only between these dates” and specify different dates other than set in vacation rule.

For instance, you can decide to delegate all your tasks to your colleague in “Vacation Period”. Additionally, on the “My Rule” page, you define a rule so that tasks concerning “Talent” are reassigned to your manager.

The rules established under My Rules take precedence. Therefore, during your vacation, all approval tasks are delegated to your colleague except for talent-related tasks, which are reassigned to your manager.

Note: Use Take no action option only when you’re creating exception rules. For example, let’s say you have a rule that reassigns all your talent approvals. But you want to approve goals from a specific employee yourself then you can create an exception rule with that employee as the condition and select Take no action. The goals from that employee would remain assigned to you.

Setup Vacation rules for others:

As administrators, you have the authority to assign all the approvals of a manager to someone else using BPM worklist.

Log in as an administrator and navigate to BPM worklist >> Preferences, follow step# 1 and 2 above.

In addition to “My Rules”, you will also see “Other Rules” tab. Select “Other Rules” tab and search for the person for whom you want to add the vacation rules.

You can setup any kind of rules which employee was able to setup for self.
