Employee Vacation and Delegation Rules Report

Do you want to know who has set up vacation and delegation rules in the system?

Oracle offers a built-in report to help you with this. The Employee Vacation and Delegation Rules Report provides details on the rules employees have established to reassign or delegate workflow tasks. This report is available as a scheduled process. If an employee is on vacation, the report will show whether they’ve set up a rule to delegate or reassign tasks, along with the name of the person who will be handling those tasks in their absence.

Here is how you can do it.

1. Accesses needed:

To run the report, you would need a role that includes the following privileges:

  • Run BPM Workflow Reports (FUN_RUN_BPM_WORKFLOW_REPORTS_PRIV)
  • Run BPM Workflow Reports (FUN_RUN_BPM_WORKFLOW_REPORTS_PRIV_OBI)

2. Navigation:

To begin the process, navigate to the Tools >> Schedule Processes.

3. Running the Process:

Search for the process Employee Vacation and Delegation Rules Report by clicking on Schedule New Process:

4. Configuring Report Parameters: After selecting the report, click Ok to move to the next screen where you can set the parameters for the report:

Business Unit, Legal Entity, or Employee: You can run the report based on a specific business unit, legal entity, or employee. Choose the relevant option depending on your reporting needs.

Date Range: The report’s date range defaults to the first and last date of the current month. However, you have the option to adjust these dates if needed.

If you leave both date fields blank, the report will default to the current month’s first and last date.

Rule Status: The Rule Status field allows you to filter the report by active or inactive rules:

  • Active: Only active rules during the specified date range will appear.
  • Inactive: Only rules that are inactive during the selected date range will be included.
  • All: This will include both active and inactive rules in the report.

5. Example of Rule Status Impact:

Here’s a practical example to help you understand how the Rule Status parameter affects the report results: Suppose you have the following rules with active dates:

  • Rule 1: September 25 to October 10
  • Rule 2: October 5 to October 15
  • Rule 3: October 30 to November 30

If you run the report on November 10 and set the From Date as October 1 and To Date as October 30, the results will differ based on the Rule Status you select:

  • Active: Only Rule 3 will appear, as it is the only one still active on November 10.
  • Inactive: Only Rules 1 and 2 will appear, as they are inactive by November 10.
  • All: All three rules will be included in the report.

6. Report Output: The output is generated as a spreadsheet and xml format. The spreadsheet includes three main sections:

Originator Employee Details: which provides information about the user who defined the rule.

Rule Details: which includes the rule’s effective dates and any conditions for task workflows with two

types of rules: Vacation for out-of-office scenarios, and Delegation for task reassignments.

Destination Employee Details: which shows the person to whom tasks are reassigned/delegated.

  • Note: You should run the report on need basis whenever you need information about user’s vacation or delegation rules. Avoid submitting the report to run on a recurring schedule.
