Synchronize Notification in Global Header

Users receive notifications for the workflow task through various in-app interfaces like bell icon, things to finish, and via email. The scheduled process called “Synchronize Notifications in Global Header” ensures that all in-app notification interfaces are updated to reflect the latest task status.

Once you approve a task from email, the notification still appears in the global header and on the home page, prompting for approval. Another similar scenario occurs when a task is assigned to an approval group or Area of Responsibility (AOR), resulting in notifications being sent to all group members. If one of the member approves the task from the Things to Finish section, their notification is removed from that section. However, the same notification remains visible for the other members of the approval group.

Utilize the Synchronize Notifications in Global Header scheduled process to synchronize notifications with the latest task status for all users. This ensures that once a task is approved, the notifications across all interfaces and for all users reflect the most current status.

Here is how you can schedule this process:

  1. You need to have the Manage Scheduled Job Definition (FND_MANAGE_SCHEDULED_JOB_DEFINITION_PRIV) privilege to run this process.

  2. Navigate to Tools >> Scheduled Processes:

  1. Click on “Schedule New Process” and search for “Synchronize Notifications in Global Header” and click on “OK”

  1. On next page – click on “Advanced”:

  1. Select “Using a Schedule,” set the frequency, and specify the start and end dates. Then, click on “Submit.”

Note: Oracle recommends scheduling the process to run every 2 hours. However, the ideal frequency depends on the volume of approvals. If you need to run the process more frequently, avoid scheduling it to run more often than every 30 minutes. If you’re running the process for the first time, or it hasn’t run in a very long time, then the process might take hours to finish.

After synchronization, because the task status is completed and the task is no longer pending for the user, here’s what happens to the notification:

  • It’s removed from the list in the global header.
  • It’s no longer a card in the Things to Finish section.
  • On the Notifications page, it moves from the Assigned to Me tab to the All tab.

Note: If the Approvals work area is enabled, it replaces the Worklist: Notifications and Approvals work area.
